Double bookings are more than an annoyance. Every burst room reservation and every vehicle handed out twice costs not just the affected appointment but also everyone's trust in the calendar, and without that trust people go back to calling around "just to be sure". Five rules prevent this reliably.
The most common cause of double bookings is parallel systems: a whiteboard in the hallway, an Excel sheet in the office, and a group chat where someone "quickly" reserves a slot. As soon as two sources exist, neither of them is reliable. The consequence: one system that everyone can reach, and a firm goodbye to all the others. To see how many overlaps your current list already contains, paste its rows from Excel or Outlook into the free booking check.
A list that gets updated once a day is already outdated the moment you read it. Whoever books at 9:00 needs to be sure that their colleague's 8:55 booking is already visible. Real-time availability is not a convenience feature. It's the only thing preventing two people from seeing the same free slot and both grabbing it.
People miss overlaps, especially with overnight bookings, multi-day reservations, or setup times. A booking system must technically reject overlapping requests before they land in the calendar. What can't be double-booked in the first place never needs to be untangled.
Maintenance, cleaning, training sessions, holiday closures: recurring appointments that occupy a resource belong in the system as recurring blocked periods, not in the memory of whoever is in charge. That way an external request can't even land inside the maintenance window, and nobody has to cancel it afterwards.
Not every conflict is technical: sometimes a request is formally valid but sensitive in practice, say when outsiders want the clubhouse on the same weekend as the summer festival. For resources like these, requests only become binding after a responsible person approves them. That combines the speed of online booking with human judgment exactly where it's needed.
Once these five rules are in place, something remarkable happens: the double-checking phone calls stop. The calendar turns from a source of arguments into the single source of truth. Dispoly implements all five rules out of the box, from real-time availability to recurring blocked periods to the approval workflow.
