Saturday, just past eight. The first customer is in the yard with an empty trailer, here for the mini excavator he was promised over the phone on Thursday. The second customer arrives ten minutes later and wants the same excavator. He was promised it too, by a different colleague, on a different slip of paper.
Anyone running a rental fleet alongside their actual trade knows this scene. Rental is rarely the core business, but it generates a disproportionate amount of friction: calls, callbacks, notes at the counter, and every so often a customer who drives off disappointed. Yet the problem is technically small. What's missing is one place where everyone can see what's free, and that can be set up in a single morning, without an ERP project.
A builders' merchant typically has five to fifteen rental items: two or three trailers, a plate compactor, a core drill, a demolition hammer, maybe a mini excavator and a dumper. That's manageable, and that's exactly why it rarely gets organized systematically. A list at the counter will do.
It does, until several things come together. Requests arrive through different channels: one customer calls, the next asks at the till, a third writes an email, and every colleague writes it down somewhere else. Time passes between reservation and pickup; a booking made on Tuesday for Saturday changes hands three times on paper before then. And in the evening and on weekends, nobody reaches the counter, exactly when the private customer is planning their patio.
The result isn't chaos but uncertainty. Nobody at the counter can say for sure whether the plate compactor is free on Saturday, so people call back, double-check, decline to be safe. Every one of those loops costs time and sometimes a customer.
A shared live calendar resolves all of it at once, because every reservation lands in the same place and the current state is visible around the clock. How the mechanics behind that work is covered in detail in Avoiding double bookings.
Not every booking tool suits rental. For rental equipment you need four things that don't matter for meeting rooms or pool vehicles.
The first is availability without a customer account. The private customer who needs a trailer once a year won't create an account. They want to open a link, see whether Saturday is free, and enter their name. Anything beyond that costs you reservations.
The second is approval before handover. Unlike a meeting room, you don't want every request for an expensive machine to be automatically binding. The request lands with your team, one look, one click, and the customer gets the confirmation. For trailers and small tools you can skip approval; for the mini excavator and the dumper, switch it on.
Third, the handover details belong in the booking: license plate of the towing vehicle, construction site, driving license class, deposit received yes or no. Custom booking fields turn these into required entries without which nobody can reserve, and the second slip of paper disappears.
And fourth, you need blocked periods for maintenance. The mini excavator is in for repair, the plate compactor is waiting on a spare part: entered as a blocked period, the item disappears from the selection for those days, and nobody promises it twice.
Everything else (ERP, invoicing, inventory) stays where it is. A rental calendar doesn't replace your merchandise management; it only answers the one question that system can't: is the machine free on Saturday?
Most rental fleets run three pricing models in parallel, and rightly so:
| Item | Sensible model | Example |
|---|---|---|
| Trailers | per day, often with a weekend rate | €25 / day |
| Plate compactor, breaker, core drill | per day | €45 / day |
| Mini excavator, dumper | per day, or per hour for short jobs | €180 / day |
| Small tools, accessories | flat rate per rental | €15 flat |
Two notes from practice. The price belongs on the booking page, because if the customer only learns the day rate at the counter, you're having exactly the conversation you wanted to avoid. With the price next to the item, the customer reserves informed or not at all, and both save time. The deposit, on the other hand, is not a price but a piece of information: you still settle it at the counter, and in the booking a "deposit received" field or a note in the description is enough for the customer to come prepared.
In Dispoly you set per item whether it's charged per hour, per day, or as a flat rate. The customer sees the total before submitting the request.
Here the paths split, and both are legitimate.
On site or by invoice. The price is displayed, and you collect at the counter or invoice your trade customers. The outstanding amount sits in your revenue overview and gets marked as paid with one click. This needs no payment provider and no setup, and it costs nothing extra.
Online by card. The customer pays when reserving. When they pull into the yard on Saturday, the rent is already covered and handover takes two minutes. The money goes to your account, and your name appears on the customer's card statement. If you cancel or decline a paid reservation, the refund happens automatically. This route needs a Stripe account; setup is guided and takes about fifteen minutes. Dispoly keeps 4% per transaction on online payments, plus Stripe's fees. No base fee, no minimum volume, and on refunds we refund our share too.
Our recommendation for the start: show prices, collect on site. That's set up in ten minutes and already removes most of the friction. Once you notice that many reservations arrive in the evening and on weekends, online payment becomes worth it, because the no-shows disappear with it. Whoever hasn't paid hasn't reserved.
The details on payment methods and the revenue overview are in the August 2026 release.
Realistically it takes two to three hours, and most of that goes into photographing the equipment.
1. Set up the fleet (45 minutes). Every item with a name, category (trailers, machines, small tools), location (yard, hall 2, outdoor storage), and price. If the equipment already lives in Excel, import the list instead of retyping it. One photo per item helps private customers who can't tell the 200 kg plate compactor from the 100 kg one.
2. Set approval and fields (15 minutes). Which items are confirmed automatically, which only after review? Which details do you need with the reservation: license plate, site, driving license, company? Three or four fields are enough; more scares people off.
3. Decide on payment (10 minutes). Show the price and collect on site, or activate online payment. See above.
4. Roll out the link and QR codes (30 minutes). The booking link goes on the website, into the email signature, and onto the business card at the counter. The QR code goes on drawbars and frames as a weatherproof sticker: the customer stands in the yard, scans, sees the calendar, reserves for next week. No app, no account.
5. Bring the team along (15 minutes). The most important rule: phone reservations also go into the calendar, immediately, not after closing. Only then does the calendar stay the single source of truth. Customers who prefer to call still can; they just end up in the same system as everyone else.
In our experience the first online reservation arrives the same day. After two weeks, part of your customers stop calling entirely because they can see for themselves what's free, and at the counter a glance at the calendar answers the question about the dumper in ten seconds instead of a walk across the yard.
"Our customers call, they don't reserve online." Some do, and that's fine. The ones who reserve online are exactly the ones who used to call in the evening and reach nobody. Those are the reservations you're not getting today.
"We have an ERP system." It knows articles and stock levels. It rarely knows whether the trailer is free on Saturday. The rental calendar only covers availability, reservation, approval, and payment. Nothing changes in your ERP.
"Rental is just a side business for us." Then it's five to fifteen items, and that's exactly where a double booking hurts most, because the disappointed customer is standing right in front of you. With no setup fee and no minimum term, the risk of trying it out is one morning.
"What about multiple branches?" Each branch is a location in the same system. Customers see where the item is, and the team sees all locations in one overview.
The rental fleet at a builders' merchant is small enough to bring online in one morning, and large enough that every avoided double booking is felt immediately. Prices on the booking page, approval for the expensive machines, handover details in the reservation, QR code on the drawbar. The rest is habit.
