Every year, the same ritual: the summer festival gets closer, the anticipation grows, and so does the number of messages in the organizing chat. "Do we actually have the grill locked in?" "Who's picking up the beer tent sets?" "Is the clubhouse even free, or is the youth team having their season finale there?"
For most clubs, the summer festival is the most resource-intensive event of the year. Nowhere else do you need so many rooms, pieces of equipment, and vehicles at the same time, and nowhere else does it hurt as much when the schedule is wrong. This post is your checklist so that on festival day, everything is where it belongs.
Everyone talks about the program, the food, and the volunteers. The resources behind them are easy to forget, until they're missing. A typical summer festival occupies:
Here's the catch: these resources aren't only occupied on festival day. The trailer is already out on Friday picking up drinks, the clubhouse turns into a warehouse from Thursday on, and the grill has to be back, cleaned, on Sunday, before the neighboring section needs it for their own party.
A summer festival occupies resources for four to five days, not one. If you only reserve festival day itself, you're creating the conflicts yourself.
Reserve everything that exists only once, now: clubhouse, field, cooling trailer, and reserve them from setup to teardown, not just for festival day. This is also the moment that decides whether your date works at all: if the occupancy plan already shows the youth team's season finale on your preferred weekend, you want to know today, not in four weeks.
Grill, tent sets, pavilions, sound system, van. It pays to look at return times here: who brings what back, and when? Put that in the plan too. A booking until "Sunday 6 pm" is a commitment; "sometime over the weekend" is a conflict waiting to happen.
Now the small things surface that nobody thought of: extension cords, the coffee machine, the second fridge. If your members can check availability themselves, these requests resolve on their own, without the organizing team becoming an information desk.
Block a buffer for cleaning and teardown before the next group takes over. The most common argument after club festivals isn't about the festival. It's about the state in which the next person finds the equipment.
1. The date is set, but the resources aren't. The board decides on a date and announces it, and only afterwards does someone notice the field is taken. The rule: first check the occupancy plan, then make the announcement.
2. The organization runs through one person. One dedicated volunteer knows everything, books everything, answers everything. Until she's on vacation. Distribute the responsibility: every section books for itself, and the plan is visible to everyone. Our guide to clubhouse booking shows how that works in general.
3. Verbal agreements sealed with a handshake. "The grill is reserved for us, I discussed it with Peter." Except it's written down nowhere, and Peter remembers it differently. What isn't in the plan doesn't exist, and this one rule resolves more conflicts than any clearing-the-air conversation ever could. More on this in our 5 rules against double bookings.
We built Dispoly for exactly this kind of club life:
