Freelancers, volunteers, and people on a voluntary service year all book through the same link. None of them needs an account or a licence.

Approval by the site manager

The group room confirms itself, the minibus goes through the manager. Who approves is set per resource and they are notified automatically.

Sites as locations

Nursery, residential group, counselling centre, and head office are each a location. Teams see their own site first and can still find the free bus next door.

Custom fields per booking

Ask for whatever the accounting needs: cost center, programme, project number, or mileage. It sits next to each booking instead of being collected at month end.

Administration on the side

Nobody there is employed to dispatch vehicles

Today the bookings get made by whoever runs administration, between two other meetings. Dispoly is built so that exactly that person can set it up: no IT project, no training day, and nobody assigned to maintain it.

From the notice board to a calendar, in one morning

No IT project and no training day. If you know which vehicles and rooms exist, you are done in half an hour.

  1. Add the sites as locations

    Enter the nursery, residential group, counselling centre, and head office as locations, then hang minibuses, service vehicles, group and counselling rooms off them. Upload an existing list as CSV or Excel.

  2. Decide who may book on their own

    The group room confirms itself, the minibus goes through the site manager. Per resource you decide whether a booking takes effect immediately or needs approval. Whoever asks can see the status at any time.

  3. Get the link into the teams

    The booking link goes to every site, the QR code onto the key board and the group room door. Freelancers and volunteers book through it too, without you creating accounts for them.

  4. Enter fixed slots and workshop dates

    The Tuesday group session goes in once as a recurring booking, servicing and holiday closures follow as blocked periods. After that nobody plans a trip with a bus that is not there.

A week at the provider

None of this needs an extra role. It only needs every site looking at the same calendar. The difference usually shows in the second week, when the calls to head office stop.

Monday, 08:30

The residential group wants the minibus for Friday. Instead of calling head office, the carer opens the link, sees Friday is free, and requests it. The manager approves between two meetings.

Tuesday, 11:05

The counselling centre needs a second room at short notice. The calendar shows the group room at the neighbouring site is free. Before, the appointment would have been moved.

Thursday, 09:00

The second bus is due for a service. The date goes in as a blocked period and the vehicle disappears from the options for those days. Nobody schedules it by mistake.

Friday, 07:45

The bus is ready, the key is where it should be, and nobody had to make calls the night before. The booking had been in the calendar every site sees since Monday.

What comes up first in the management meeting

Our sites work very differently. One shared system will not fit.

None is being imposed. Each site is its own location with its own resources, its own rules, and its own booking link, and carries on working its own way. The only shared thing is the calendar, which is where it becomes visible that there is a bus standing next door.

The money is needed elsewhere.

Some of our staff have no work email address.

A booking needs a name and an email address, a private one works. Anyone without one tells their site and is entered by hand. The difference is that the booking then sits in the same calendar as everyone else.
