End the booking chaos today.

The equipment officer is asked to "suggest something digital", types "fire department software" into a search box and gets twenty vendors that all sound the same. Every one of them promises an overview, every one has an app, every one shows a screenshot with vehicles on it.
The problem with that search is not the number of options. It is that the phrase "fire department software" hides at least four completely different jobs. If you do not separate them, you end up comparing systems that were never competing in the first place, and wondering why one offer costs nothing and the next runs into four figures.
This post sorts the landscape by job. No ranking, no scorecard: which system is right for you depends on which problem is hurting right now.
Disclosure: Dispoly is our own product, and we say plainly below what it is built for. Everything stated about other vendors comes from their own public descriptions, verified in August 2026. Features and prices change; check the points that matter to you before you buy.
The four jobs
- Alerting and availability: who turns out when the pager goes off?
- Administration: members, training, incident reports, vehicles, inventory.
- Testing and the breathing apparatus workshop: inspection intervals, workshop records, operational readiness.
- Booking shared resources: who has the crew van on Saturday?
Most departments end up needing more than one of these. That is normal, and vendors know it: interfaces between these systems have long been standard.
1. Alerting and availability
This is about the minutes after the alert goes out, and the question before it: who is actually available?
DIVERA 24/7 records responder availability and alerts redundantly via app, phone call, SMS and pager. It adds an alert monitor for the apparatus bay showing the assignment and route map, a team messenger, and interfaces to dispatch centres and third-party systems. According to the vendor, it runs exclusively on servers in Germany, geo-redundantly across several data centres; the company is ISO 27001 certified and explicitly rejects US cloud providers. Public-safety plans start with DIVERA 24/7 FREE, permanently free for up to 50 people, with ALARM from €0.49 and PRO from €0.99 per user per month above that.
Alamos FE2 is the vendor's central alerting platform and runs either on-premise on your own network or in the cloud. What is interesting is how it is used in practice: dispatch centres and district authorities running an FE2 server can pass incidents and status messages to DIVERA 24/7 over an encrypted MQTT interface. Combined with DIVERA FREE, that gives even small departments of up to 50 responders a supplementary alerting path. It is a good illustration that "either/or" is rarely the right question in this landscape.
Who it is for: every department that gets alerted, so essentially all of them. This is usually the first system introduced.
2. Administration
The largest and least transparent block. This is where member records, service hours, training, incident reports, vehicles, inventory and the kit store live.
FWportal is a cloud solution with no installation and servers in Germany: members with roles and qualifications, incident reports, inventory and inspection dates, training, service hours, hydrant maps and breathing apparatus fitness records. The BASIC tier is free and covers the classic administrative tasks including incident reports and breathing apparatus documentation. The mobile app, barcode and RFID capture and the communication features sit in PREMIUM, which the vendor lists from roughly €30 to €50 per month. For smaller departments with no budget, that is a very low barrier to entry.
FLOW by VOMATEC is also cloud-based and covers a broad range: personnel, equipment and materials, defect reports, duty and exercise planning, incident documentation, billing and breathing apparatus records. It comes with a free crew app offering self-service, automatic hour tracking and a digital duty card. Two things stand out: automatic integration with the DGUV's ZED database, which documents hazardous substance exposure in a legally sound way across the required 40-year retention period, and a bidirectional interface to DIVERA 24/7 that moves incidents and member data across without duplicate entry.
fireplan combines administration, alerting and incident support in one system: personnel, equipment and materials, incident reports, billing, analytics, maps with hydrants, plus a calendar and appointments. It ships fireplan.app for phones and fireplan.pad for tablets. The vendor explicitly advertises that neither a server nor a VPN is required and that user numbers are unlimited. It is aimed at departments that do not want to run their own infrastructure.
MP-FEUER is the classic: by its own account more than 30 years on the market and widespread across many German states. Its scope runs from personnel and the kit store through PPE, vehicles, equipment and stores to incidents, training and billing. It is traditionally installed locally, including a network version for multiple workstations; alongside it there is now the MPBOS.one cloud platform. If you administer a large organisation with established processes, there is a lot of depth here.
Who it is for: every department above a certain size. The decision usually comes down to three questions: cloud or your own server, how deep the testing and inspection side needs to go, and what neighbouring departments in the district use (because you help each other out).
3. Testing and the breathing apparatus workshop
A special case with its own requirements: deadlines, proof obligations and, in the worst case, operational readiness all hang on this.
Dräger comes from the equipment side and offers correspondingly workshop-oriented software. Drägerware.Workshop Software 3000 is tailored to the needs of a breathing apparatus workshop and manages maintenance, inspection intervals and spare parts; larger workshops can move up to the 5000 and 7000 tiers. Dräger RAM is browser-based and shows at any moment which equipment is ready for use and where it is. RAM can be linked to the Dräger FireGround breathing apparatus monitoring system, so the full service and deployment history of a set can be traced end to end.
Who it is for: departments with their own breathing apparatus workshop, and anyone still running inspection records on index cards. The advantage of the manufacturer's software is how tightly it meshes with the test equipment; if your testers are Dräger anyway, you avoid entering everything twice.
4. Booking shared resources: where we fit
And then there is the question none of these categories really addresses, because it looks so trivial:
"Who has the crew van on Saturday?"
The youth section wants it for a trip, the operational section for a drill, someone has booked the training room for a course, and the traffic safety trailer is apparently parked at the neighbouring station. Administration software knows these vehicles exist, who owns them and when they are due for inspection. Who has booked them for next weekend is a different question, and in a lot of departments it is still settled in a group chat.
That is exactly what Dispoly is built for. You add your resources (vehicles, rooms, equipment, with a category and a location) and get one shared availability plan everyone can see. Booking happens through a link or a QR code on the door, with no app and no account.
That is the real difference from the calendars inside administration systems: those schedule duties and appointments for members already on file. The question of the crew van regularly involves people with no access to the administration system at all: the youth leader, the supporters' association, the neighbouring department, the municipality that shares the training room. Those are precisely the people who can book in Dispoly without you creating a user account for each of them.
On top of that, the things that make the group chat unnecessary:
- Double bookings are technically impossible, not merely discouraged.
- Recurring blocked periods such as Tuesday drill night are entered once.
- Approvals in one click, when not everyone should simply take everything.
- iCal feed: bookings show up in Google, Outlook and Apple calendars.
- Automatic reminder 24 hours before the booking starts.
Dispoly works alongside your administration software rather than against it: member records, incident reports and breathing apparatus deadlines stay where they belong. The booking of shared vehicles and rooms comes to Dispoly. There is more on our fire department page.
How to choose: five questions
Which problem is actually hurting right now? Not "what would be nice to have", but what caused trouble this week. Software that solves an acute problem gets used. Software that is theoretically useful gathers dust.
Who maintains the system? Every one of these tools needs someone to feed it. In a volunteer organisation the scarcest resource is not money but time and the willingness to learn a new tool. Ask how much upkeep is realistic before you buy.
What do neighbouring departments and the district administration use? In many districts there is a de facto standard. Joining it buys you help with questions, shared training and sometimes better terms.
How do you get the data back out? An export is not a detail. Whoever starts today wants a choice in five years.
What happens to members' personal data? Server location, data processing agreement, retention periods. For departments that belong to the municipality, municipal data protection has a say too. We wrote that up separately: GDPR and booking data.
Conclusion
There is no such thing as the fire department software. There is alerting, administration, testing and booking: four jobs solved by different tools that combine well in practice. Most departments start with alerting, add administration, bring in workshop software once breathing apparatus deadlines become a topic, and eventually notice that the question about the crew van on Saturday still lands in the group chat.
If that is where you are: add your vehicles, rooms and equipment in half an hour, put the QR code on the key board and let the department do the rest. 30 days free, no payment details, start here.
