Someone is standing outside the clubhouse with a folding table under one arm, wondering whether the room is still free on Saturday. They mean to ask later. By the time they are back at a desk, the question is gone, and Saturday stays empty.
A QR code on that door turns the intention into a booking while the person is still standing in front of it.
The sequence is shorter than most people expect:
Nobody needs an account, an app from the store or a password they will forget. Someone who needs a resource twice a year gives up at a registration form, and the booking never happens.
The code opens the page for the resource the person is standing in front of. Scan the code on the projector case and you land on the projector case, instead of hunting through a list of forty entries.
A single code for the whole booking page belongs in the noticeboard, in an email signature or on a flyer. At that point the reader doesn't yet know what's on offer.
At the object itself the context is already clear. Someone outside the training room wants the training room. So every resource gets its own code pointing straight at its page. That saves two clicks and prevents the wrong booking when two rooms have similar names.
The rule: wherever the question comes up. A few examples from practice:
| Setting | Where to put it |
|---|---|
| Club | Clubhouse door, noticeboard, drinks store, beer tap, trailer |
| Fire department | Apparatus bay next to the parking space, storeroom shelf, training room door |
| Company | Meeting room door, key cabinet for pool cars, equipment cupboard |
| Rental fleet | Trailer drawbar, machine frame, transport case |
| Municipality | Community hall entrance, caretaker's office, village hall noticeboard |
Mount the codes at 1.40 to 1.60 metres. Anything stuck to the bottom of the door goes unnoticed.
Reflective noticeboard glass with light behind it is the most common reason a camera picks up nothing. If the code has to go there anyway, use matte film or put a second one on the inside of the door.
There is nothing to assemble. Every booking page in Dispoly comes with a PDF download containing one card per resource. Each card carries:
The layout follows the count: a single resource gets a large code, six resources come out as two columns per page, nine or more as three. Available formats are A4, A3, A5, Letter, Legal and Tabloid. A3 pays off in the apparatus bay, A5 for individual equipment.
The address under the code is the route for everyone the scan fails for. If the camera won't cooperate, they type it in; if they photograph the notice and continue at home, they have it in the photo. The contact person on the card serves the people who would rather call. You are not taking away the familiar route, you are putting a second one next to it.
For outdoors and for workshops: laminate the cards or slip them into a clear pocket, or the code will be unreadable after the first rain or a few weeks of dust. Print it at least three centimetres across so it reads reliably from half a metre.
A bare QR code on a door makes people hesitate, because nobody knows where it leads. Write down what happens:
One sentence is enough.
True, which is why the code doesn't replace the existing route, it adds to it. Anyone who calls still gets entered by the team. What matters is that those phone bookings land in the same calendar, otherwise you are back to two versions of the truth. Avoiding double bookings covers why that is the heart of the matter.
Only if you want them to. You can hold requests for approval instead of confirming them automatically, and put a PIN on the booking page as well. Email addresses are verified by default before a booking counts. Abuse is rarely the problem in practice; the booking that never happens is far more common.
No. The code points at the resource, not at a date. As long as the resource exists, the printout stays valid. Maintenance, repairs or holiday periods go in as blocked periods, and the page then shows the resource as blocked for those dates. Whether visitors can still send a request is a setting per booking page. The notice on the wall doesn't change.
A QR code is a printed web address. Nothing is installed and nothing is read off the phone. Booking collects a name, an email address, the time slot and whatever fields you ask for, hosted in the EU. More on that in GDPR and booking data.
Step five is the one people skip. It takes twenty seconds and catches almost every mistake you can make while mounting.
The QR code is the shortest path from a passing thought to a firm booking. It works where the question comes up: at the door, at the vehicle, at the shelf. And it reaches the occasional users who would never create an account but whose bookings still need to be in the calendar.
How this fits together for a club is on the solutions page for clubs, for fire departments on the fire department page. If you rent equipment out, the matching workflow is in Renting out equipment online.
