At the end of August the council sends the letter: these are the hall times your club has for the new season. And every year the same ritual starts.
The basketball section wants Tuesday evening, because Tuesday has always been theirs. So does volleyball, for the same reason. Children's gymnastics gets Friday at 5pm, even though barely a child is out of after-school care before 4:30. Somebody phones somebody, whoever asks most persistently wins, and three section heads are annoyed until Christmas.
The awkward part: the decision holds for a whole year. Anyone landing a bad slot in September is stuck with it until next summer. So everyone treats it as a big deal, and the discussion gets emotional accordingly.
Supply is fixed. The hall has as many evenings as it has. Unlike almost every other problem in a club, you cannot solve this one by putting in more effort: what one section gets, another does not.
On top of that, every claim is legitimate. The basketball teams have league fixtures, gymnastics has the most members, the athletics group trains indoors in winter because there is nowhere else, and children's gymnastics brings in tomorrow's members. No section is simply wrong.
And there is no established criterion. Where none exists, habit or volume decides. To whoever loses out that feels unfair, because it is.
It sounds obvious and gets skipped regularly. Before anyone stakes a claim, put on the table:
Only once that frame is set is a conversation about allocation worth having. Otherwise you are negotiating over time that does not exist.
No single criterion solves the problem. A combination of these five is a good deal more defensible than "that's how it has always been".
Age before habit is the strongest objective criterion. Children cannot train at 9pm, adults can perfectly well train at 8. Give the early slots to the youth sections and the late ones to the adults, and half the discussion is already behind you, because there is very little to argue against.
Competitive fixtures have the tighter constraints. A team playing in a league needs predictable training times and has to block hall time for home games. That does not push recreational sport to the back, but in a genuine clash the fixture list wins.
People per hall hour belongs on the table, even though it settles nothing on its own. A section with 40 active children uses an hour differently than a group of six. Count active participants, not members on paper.
Rotation takes the heat out of the fight over the prime windows. If one slot is objectively better than the rest and several sections can justify it equally well, rotate it every six or twelve months. That is less comfortable than a fixed allocation, and it permanently defuses the conflict.
Demonstrated use is the most uncomfortable point and the most effective one: whoever regularly does not use their hall time gives it up. That assumes you can see the use at all, which is exactly where it usually falls apart.
One meeting, all sections, before the summer break. Not after, or you end up under time pressure.
On the table go the available times, each section's request with a justification, and the active participant numbers. You allocate by the criteria agreed beforehand, not by negotiating skill. Write the result down and publish it, including the reasoning for why each slot went where. A documented decision with a stated rationale gets challenged far less often than one that somehow came about.
In autumn people argue hard over hall time, and in January the hall stands empty on a Tuesday evening because the basketball team has an away game. Nobody knows. The gymnastics section, which could have used that hour, never finds out.
Over a season it adds up: holidays, away games, coaches dropping out, illness, tournaments. Twenty to thirty unused hall hours a year come together quickly, all of them fought over in advance.
So the bigger lever is not a more finely balanced allocation. It is making visible what is actually free, and making it easy enough to take a slot that people actually do. For that you need a schedule everyone can see, and a way to pick up a free hour at short notice that does not run through three phone calls.
You enter the season once. Fixed training times go in as recurring blocked periods, Tuesday 6 to 8pm basketball, Friday 5 to 6:30pm children's gymnastics. They hold permanently, without anyone maintaining them week by week.
Hall, gym room, weights room, and clubhouse sit in one shared schedule. Anyone wanting to know whether Thursday is free looks it up instead of asking. Two sections cannot hold the same hour at once, the system does not allow it.
When a session is cancelled, you release the time and it shows as available to everyone straight away. Whoever needs it books it themselves, through a link or the QR code on the hall door. No app and no user account, which in a club decides whether an offer like that gets used at all.
Through the iCal feed the times land automatically in coaches' calendars, in Google, Outlook, or Apple Calendar. A reminder email goes out 24 hours before the start.
At the end of the season you export the bookings as CSV or Excel. That way the next allocation discussion runs on numbers rather than impressions.
How to organise the occupancy itself is covered in organizing clubhouse bookings, and why clashes can be ruled out technically is in 5 rules for shared resources. If the club festival is coming up in summer, planning a summer festival helps.
You can try Dispoly free for 30 days without payment details. A whole season of training times goes in within the hour, and after that nobody asks whether the hall is free on Thursday. More on the pages for sports facilities and clubs.
